maison KOOS values your privacy. We only process data necessary for (improving) our services and handle the information we collect about you and your use of our services with care. We never make your data available to third parties for commercial purposes.

This privacy policy applies to the use of the website and the services provided via the website of maison KOOS. The effective date of these terms is 16/03/2023. When a new version is published, the validity of all previous versions expires. This privacy policy describes what data we collect about you, how we use this data, and with whom and under what conditions this data may be shared with third parties. We also explain how we store your data, how we protect it against misuse, and what rights you have regarding the personal data you have provided to us.

Webshop Software

Shopify
Our webshop is developed using Shopify software. The personal data you provide for our services is shared with this platform. Shopify has access to your data to provide (technical) support but will never use it for other purposes. Shopify is contractually obligated to take appropriate security measures, including SSL encryption and a strong password policy. Shopify is a certified processor of credit card data and uses cookies to collect technical information about your use of the software without storing or collecting personal data. Shopify reserves the right to share collected data within its own corporate group to improve its services. Shopify complies with the applicable legal data retention periods. The EU/US Privacy Shield applies, meaning your data may be processed in the United States.

Email and Mailing Lists

Shopify
We send our email newsletters via Shopify. Shopify will never use your name and email address for its own purposes. At the bottom of every email sent via our website, you will find an ‘unsubscribe’ link, allowing you to opt out of our newsletter. Your personal data is securely stored by Shopify, which uses cookies and other internet technologies to track whether emails are opened and read. Shopify reserves the right to use your data to improve its services and to share information with third parties for this purpose.

Gmail
We use Gmail for our regular business email communication. This provider has implemented appropriate technical and organizational measures to prevent the misuse, loss, and corruption of your and our data. Gmail does not have access to our mailbox, and we treat all email communication confidentially.

Payment Processors

Shopify Payments
We use Shopify Payments to process part of the payments in our webshop. Shopify Payments processes your name, address, and payment details such as your bank account or credit card number. Shopify Payments has taken appropriate security measures to protect your personal data and reserves the right to use it to improve its services. In cases of deferred payment (credit facilities), Shopify Payments may share data with credit rating agencies.

PayPal
We use PayPal for some of the payment processing in our webshop. PayPal processes your name, address, and payment details such as your bank account or credit card number. PayPal has taken appropriate security measures and reserves the right to use your data to improve its services and share anonymized information with third parties.

Reviews

WebwinkelKeur
We collect reviews via WebwinkelKeur. When you leave a review, you are required to provide a name and email address. WebwinkelKeur shares this information with us so that we can link the review to your order. Your name may also be published on the WebwinkelKeur website. In some cases, WebwinkelKeur may contact you for additional clarification regarding your review. WebwinkelKeur has taken appropriate security measures and is allowed to engage third parties for its services.

Shipping and Logistics

Innosend & MyParcel
When you place an order with us, we rely on Innosend or MyParcel to deliver your package. We share your name, address, and city details with Innosend or MyParcel only for this purpose. If Innosend or MyParcel uses subcontractors, your data may also be shared with them.

Invoicing and Accounting

Paperdork
We use Paperdork for our accounting and bookkeeping. We share your name, address, and order details with them for invoice administration. Your data is securely transmitted and stored. Paperdork is bound by confidentiality and will not use your data for other purposes.

Purpose of Data Processing

General Processing Purpose
We use your data solely for our services, meaning we only process data that is directly related to your order. We do not use your data for marketing purposes without explicit consent. Your data is only shared with third parties if necessary for bookkeeping or administrative purposes, and all parties involved are bound by confidentiality agreements.

Automatically Collected Data
Our website automatically collects certain data to improve our services. This data (such as your IP address, web browser, and operating system) is not considered personal data.

Legal and Tax Obligations
In some cases, maison KOOS may be legally obligated to share your data with authorities in connection with tax or criminal investigations. We will always attempt to resist such requests within the limits of the law.

Retention Periods
We store your data as long as you are a client. If you indicate that you no longer wish to use our services, we will delete your client profile. However, we are legally required to retain invoices with your personal data for a specified period. Employees will no longer have access to your client profile or related documents.

  • Right to rectification – You can request corrections to your data.
